1. Who we are
SecularM Sacco is the data controller for the personal information described in this notice. If you have any question about how your information is handled, contact the office using the details on this page.
2. What we collect through this website
We collect only what we need to identify you as a member and to act on your request:
- When you contact us or apply to join: your name, telephone number, email address and whatever you choose to write in your message.
- When you ask us to update your details or help you sign in: your name, member number, national ID number, date of birth, telephone number and email address, together with the new details you are asking us to record.
- When you download or upload a loan application form: the details already held on your member record, and the completed form you upload.
- When you use the member portal: your login details and a record of your savings, loans, repayments and welfare activity, which the SACCO holds as part of running your membership.
- Automatically: your IP address and browser information, recorded with form submissions to help us investigate misuse.
3. Why we use it
- To confirm you are the member you say you are before changing any record.
- To administer your membership, savings, loans and welfare benefits.
- To respond to your enquiries and process your applications.
- To keep the accurate records the SACCO is required to keep.
- To protect the SACCO and its members against fraud and misuse.
4. Who sees it
Information submitted through this website is seen by the officials and staff of SecularM Sacco who need it to do their work. Loan applications and requests to change member details are sent to the SACCO's management mailboxes.
We do not sell your personal information, and we do not share it for anyone else's marketing. We share it outside the SACCO only where we are required to by law, or where it is necessary to operate the services you have asked for — for example our website hosting provider, or the mobile money and banking providers that process payments.
5. How long we keep it
Membership, savings and loan records are kept for as long as you are a member and afterwards for as long as the SACCO is required to retain them for legal, audit and regulatory purposes. Website enquiries and requests are kept for as long as needed to deal with them and to maintain an audit trail. For the retention period applying to a specific record, please ask the office.
6. Keeping it secure
This website is served over an encrypted connection. Access to member records is restricted to authorised staff, passwords are stored in a hashed form rather than as readable text, and changes made by staff to member records are recorded in an audit log.
No system can be guaranteed completely secure, but we take reasonable steps to protect your information.
7. Your rights
Under the Kenya Data Protection Act, 2019 you have the right to:
- be told how your personal data is being used;
- ask for a copy of the personal data we hold about you;
- ask us to correct data that is inaccurate or incomplete;
- object to, or ask us to restrict, certain uses of your data; and
- ask us to delete data, where we are not required to keep it.
To exercise any of these rights, contact the office. You may also lodge a complaint with the Office of the Data Protection Commissioner.
8. Correcting your details
You can update your telephone number, email address, postal address and next of kin yourself at any time by signing in to the member portal and opening My Profile. Your name, ID number and date of birth can only be changed by the office, because they are identity details — use the "Update my details" form on this website to request a change.
9. Changes to this notice
We may update this notice. The date at the top of the page shows when it was last changed.
